1. Privacy Policy
UnifiedOfficePeak ("we", "us") is the controller of personal data collected through this website and in the course of delivering CRM and ERP implementation services. Our registered address is ul. Legnicka 51, 54-203 Wrocław, Polska. Data protection inquiries may be directed to [email protected].
1.1 Categories of data we process
- Identity & contact data — name, business email, phone number, company name submitted via the inquiry console.
- Project data — operational descriptions, system requirements, and budget ranges provided for scoping.
- Technical data — IP address, browser type, and cookie identifiers collected with consent for security and analytics.
1.2 Legal bases and purposes
We process contact and project data pursuant to Article 6(1)(b) GDPR (performance of a contract or pre-contractual steps at your request) and Article 6(1)(f) GDPR (legitimate interest in responding to business inquiries and securing our services). Analytics processing occurs solely on the basis of consent pursuant to Article 6(1)(a) GDPR.
1.3 Retention and recipients
Inquiry records are retained for up to 24 months from the last meaningful contact unless a contractual relationship requires longer retention for statutory accounting periods. Client project records are retained for the duration required by Polish commercial and tax law (generally 5 years). Data is hosted on encrypted EU-based infrastructure. We do not sell, rent, or broker personal data to third parties. Processors (hosting, email, analytics providers) are bound by Article 28 GDPR data-processing agreements.
1.4 Your rights
Under the GDPR you have the right to access, rectification, erasure, restriction of processing, data portability, and objection to processing. Where processing rests on consent, you may withdraw it at any time without affecting prior lawful processing. You may lodge a complaint with the President of the Personal Data Protection Office (UODO), the Polish supervisory authority.
2. Terms of Service
These Terms govern the engagement between the Client and UnifiedOfficePeak, ul. Legnicka 51, 54-203 Wrocław, Polska, for the provision of CRM pipeline builds, ERP suite implementations, data migrations, training, and related advisory services.
2.1 Statements of Work
Each engagement is defined by a written Statement of Work (SOW) specifying deliverables, fixed price, turnaround window, and revision rounds. Work outside the agreed SOW requires a written change order. Published catalogue prices are baseline fixed prices and are confirmed in the SOW before kickoff.
2.2 Payment terms
Unless otherwise stated in the SOW, one-time implementations are invoiced 50% on kickoff and 50% on acceptance. Retainers are invoiced monthly in advance. Invoices are payable within 14 calendar days of issue via the payment link provided or bank transfer. Late payments may accrue statutory interest under Polish civil law.
2.3 Intellectual property
Upon full settlement of all invoices, exclusive worldwide intellectual property rights in client-specific deliverables (configuration, custom modules, documentation, SOP playbooks) transfer to the Client. We retain rights to pre-existing frameworks, generic utilities, and know-how, and a non-exclusive right to reference the Client's name and logo in portfolios unless the SOW provides otherwise.
2.4 Client obligations and liability
The Client shall provide timely access to systems, data exports, and decision-makers. To the maximum extent permitted by law, our aggregate liability under any engagement is limited to the fees actually paid for the relevant SOW. Nothing in these Terms limits liability for fraud, willful misconduct, or liability that cannot be limited under applicable law.
2.5 Governing law
These Terms are governed by the laws of Poland, without prejudice to mandatory consumer protections of your country of residence. Disputes shall be resolved before the competent courts of Wrocław, unless mandatory consumer rules provide for the courts of the consumer's domicile.

4. Refund & Reimbursement Policy
We want every implementation to land cleanly. This policy explains when and how payments to UnifiedOfficePeak may be refunded.
4.1 Consumer cooling-off period
If you are a consumer and no services have begun at your express request before the end of the 14-day withdrawal period under EU consumer law, you may withdraw from a remote contract within 14 days by an unequivocal statement to [email protected]. Any amounts paid are reimbursed without undue delay and no later than 14 days after notice of withdrawal.
4.2 Kickoff deposits
If a kickoff deposit has been paid and you cancel before any work has commenced, the deposit is refundable in full within 14 days of payment. Once implementation work has begun, the deposit is non-refundable as it covers reserved capacity and discovery effort.
4.3 Defective deliverables
If a deliverable materially deviates from the agreed SOW, we will remedy the deviation at no additional cost within a reasonable period. If remedy fails within 30 days of written notice, you may terminate the affected SOW and receive a pro-rata refund for the unremedied portion.
4.4 Retainers
Monthly care-plan retainers may be cancelled with 30 days' written notice effective at the end of the current billing period. Unused prepaid retainer hours from a completed period are not carried over unless the SOW states otherwise. Statutory warranty and consumer rights remain unaffected by this policy.
4.5 How to request a refund
Email [email protected] with your name, company, invoice number, and a brief description of the request. Approved refunds are issued to the original payment method within 14 days of approval.
